Company Secretary, family Office
The Company Secretary for a family office manages corporate governance, compliance, and offshore entity administration, providing essential support to high-net-worth clients and ensuring regulatory adherence across multiple jurisdictions. This role contributes to the smooth operation and legal compliance of the family’s offshore structures.
Role Overview
The incumbent will oversee statutory filings, prepare board resolutions, and assist in the formation and structuring of offshore companies in jurisdictions such as BVI and the Cayman Islands. The position involves liaising with stakeholders including directors, regulators, and financial institutions, and supporting trust setup, wealth structuring, and asset protection strategies. Success depends on maintaining high standards of accuracy, confidentiality, and stakeholder coordination within an offshore environment.
Key Skills & Experience
- Manage statutory filings, regulatory requirements, and corporate records for offshore entities.
- Prepare and review board resolutions, minutes, and corporate documents.
- Support offshore entity formation, structuring, and ongoing compliance.
- Monitor offshore governance frameworks and ensure international compliance adherence.
- Assist with trust setup, family offices, and wealth management strategies.
- Act as liaison with directors, regulators, financial institutions, tax advisors, legal teams, and corporate service providers.
- Draft and oversee corporate filings, offshore incorporation documents, trust agreements, and secretarial paperwork.
- Facilitate bank and investment account setup for high-net-worth clients.
- Manage MPF account registration and pension fund arrangements.
- Possess at least 3 years of relevant company secretarial experience, ideally in offshore corporate services or private wealth management.
- Hold HKCGI qualification.
- Demonstrate a strong understanding of offshore corporate governance and compliance procedures.
- Experience in BVI, Cayman Islands, or similar jurisdictions.
- Familiarity with offshore trust structures, family offices, and wealth management solutions.
- Expertise in offshore bank account opening and MPF setup.
- Exhibit excellent organisational, communication, and stakeholder management skills.
- Be proficient in written Chinese and English, with fluency in spoken Mandarin.

- Experience with IND Fin Family Office.
- Knowledge of YSW 2020.

Requirements
- Right to work in the relevant jurisdiction.
- HKCGI qualification.
- Minimum 3 years of company secretarial experience, ideally within offshore corporate services or private wealth management.
- Experience in BVI, Cayman Islands, or other offshore jurisdictions.
- Familiarity with offshore trust structures, family offices, and wealth solutions.
- Proficient in both written Chinese and English; fluency in spoken Mandarin.
- On-site working environment.
