We are seeking an Administration Analyst to support efficient business operations through accurate reporting, process analysis and high-quality administrative coordination. This role is based in Beijing, China, and will work closely with cross-functional teams to improve workflows, maintain data integrity and ensure timely delivery of operational insights.
Key responsibilities
- Analyse administrative and operational data to identify trends, risks and opportunities for improvement.
- Produce regular management reports, dashboards and KPI tracking using Excel and reporting tools.
- Maintain and reconcile records across systems, ensuring accuracy, confidentiality and audit readiness.
- Support process mapping, documentation and continuous improvement initiatives.
- Coordinate administrative tasks such as scheduling, meeting minutes, document control and stakeholder communications.
- Assist with vendor, purchase order and invoice tracking in line with internal procedures.
- Provide ad-hoc analysis and administrative support to project and operations teams as required.
Essential requirements
- Proven experience in an administrative, operations or business analysis role.
- Strong analytical capability with excellent attention to detail and data accuracy.
- Advanced Microsoft Excel skills (pivot tables, lookups, charts); confident using PowerPoint and Word.
- Experience working with databases, ERP/CRM or reporting platforms (training can be provided).
- Ability to manage competing priorities, meet deadlines and work independently.
- Excellent written and verbal communication skills, with confident stakeholder management.
- High standards of discretion when handling sensitive information.
- Right to work in China and availability to work on-site in Beijing.
Desirable
- Experience with process improvement methodologies (e.g., Lean) and workflow documentation.
- Basic knowledge of data visualisation tools (e.g., Power BI) and SQL.
- Bachelor’s degree or equivalent in Business Administration, Finance, Operations, or a related discipline.

Working pattern
